  • 1.  Interview Process - do they really need to come into the office?

    We are currently looking to revamp our interview process.  I would like to discuss how you get your applicants into the system and screen them.  Do you conduct face to face interviews with every person?  Do you do a video interview?  If so have you found an app or software that works well with IOS, Andriod and desktops?  Do you have an authorized rep complete their I9 or do they all come in at some point so you can complete the paperwork?  Thank you all!

    Great question, I'm interested to hear what others are doing too!

    We do have people come to the office for interviews if possible, but more and more of our candidate interviews are taking place via phone. 
    We are comfortable with video as well and use it a lot internally–candidates don't seem as receptive to it but I believe that will change as it becomes more commonplace in their overall work life. 

    As far as I9s, if they are in our geographic area they come to our office. If not, we provide instructions for them to have an authorized rep complete their I9.

    We do a mix of both but try to interview them face to face any chance we get. Getting to the interview on a timely basis, and how they handle conditions such as weather, traffic, etc. is half of the interview process. We only conduct phone and video interviews if they live out of state.

    We do both,   it really depends on the discipline and  their proximity to our office.    In the case with direct hire searches for middle to upper management roles we often will just do the phone interview.     With our temporary employees we will always have them come to the office to complete their new hire paperwork as many of our clients require background checks so we need their signatures.

    Our Temporary Employees are expected to come into the offices for interviews, depending on their location. Phone interviews are conducted if they are out of state. As far as the I-9s they must bring the original documents to one of our offices or utilize a Notary as our representative.  We have a form they take with them to the notary.

    As a vendor for pre-hire selection tools, we've noticed an uptick in the number of requests for our video interviewing software and document hosting capabilities in the last year. I'm very interested in seeing more responses around how staffing agencies are working through this!

    Hi Trisha;

    From a client perspective, we used a recruiter in 2019 that was not from our local area.  She tested them online to see if they met our skills requirements. If they met the skills requirement, she interviewed the candidates via Zoom and recorded the meeting. For the top recommendations she sent us a copy of the recorded interview from the Zoom cloud link.  For the ones we selected for an in person interview, we invited into our office and continued with the traditional hiring practice from there.

    We are a small local owned company and we do a face to  face with everyone. We also use this as a selling point to the facilities who contract with us.  About 70% come to the office for this interview and for those people who are more than an hour away, I group them together and meet them at the nearest city. I use this time to learn about the applicant, create a relationship, set expectations and provide brief orientation to get them started on the right foot. 
    It does not produce quite the volume that a phone or video chat might,  but it does provide applicants who know what to expect, understand scheduling and important items in our handbook that are near and dear to us.

    Phone interviews for us.  Onsite is always an option however our show rate is much higher when conducting phone interviews.  When it comes to I9 completion we do have them come in, meet the appropriate team member and go from there.  We offer Skype or Zoom as an option if need be.  So far it has worked well for us.

    I concur with my colleagues... The use of video is the wave of the future and clients really like the extension of the "credible human link" when they can see a video of the candidate prior to interviewing. In my consulting practice, I advocate for the use of Zoom. Zoom is free for up to 40-minute sessions. You can't go wrong with Zoom!
    You can also use "designated agents" if you need to have I-9's completed.
